This guide covers everything you need to know about checking in to events using your Clubly tickets - from digital tickets to QR codes to backup methods.

Checking In:

  1. Open your ticket (email or app)

  2. Show QR code to door staff

Requirements:

  • Valid ticket

  • Photo ID (sometimes)

  • Phone charged

  • Ticket not transferred


📱 Accessing Your Ticket

Digital Tickets

Where to Find:

Method 1: Email

1. Search email for "Clubly"
2. Open confirmation email
3. Click "View Ticket"
4. QR code displays

Method 2: Dashboard

1. Go to clubly.vip
2. Log in
3. Click "My Tickets"
4. Select your ticket
5. QR code shows

Method 3: Mobile App (Coming Soon)

1. Open Clubly app
2. "My Tickets" tab
3. Select event
4. Tap to show QR

Add to Wallet

Apple Wallet (iPhone):

1. Open ticket email
2. Click "Add to Apple Wallet"
3. Tap "Add"
4. Accessible from lock screen
5. No internet needed!

Google Wallet (Android):

1. Open ticket email
2. Click "Add to Google Wallet"
3. Tap "Save"
4. Quick access from home screen
5. Works offline!

Screenshot Your Ticket

Backup Method:

1. Open ticket
2. Screenshot QR code
3. Save to Photos
4. Access even if:
   - No internet
   - Battery dying
   - Phone issues

How to Screenshot:

  • iPhone: Side button + Volume Up

  • Android: Power + Volume Down

Check-In Process

Step-by-Step:

1. Join Check-In Line

  • Look for "Ticket Holders"

  • Not "Guest List" (different line)

  • Have ticket ready

2. Approach Staff

  • Open your ticket

  • Increase screen brightness

  • Hold phone steady

3. Show QR Code

Staff scans with:
- iPad/tablet
- Phone scanner
- Handheld scanner

4. ID Check (If Required)

  • Name matches ticket

  • Age verification (21+)

  • Valid government ID

5. You're In!

  • Wristband (sometimes)

  • Hand stamp (sometimes)

  • Direct entry

QR Code Tips

For Best Scanning:

  • ✅ Max screen brightness

  • ✅ Hold phone steady

  • ✅ Keep distance ~6 inches

  • ✅ Clean your screen

  • ❌ Don't move phone

  • ❌ Don't cover QR code

  • ❌ Avoid glare/sunlight

If Scan Fails:

  1. Adjust brightness

  2. Wipe screen clean

  3. Rotate phone angle

  4. Zoom in on QR

  5. Try manual entry (see below)


🆔 ID Requirements

When ID Is Required

Common Situations:

  • 21+ age-restricted events

  • Alcohol served

  • VIP tickets

  • High-value events

  • Security concerns

Acceptable IDs:

  • Driver's License

  • State ID

  • Passport

  • Military ID

  • Not: Student ID, work badge

Name Matching

Why It Matters:

  • Prevents ticket fraud

  • Verifies legitimate purchase

  • Security measure

Your Name Should Match:

  • Ticket holder name

  • ID name

  • Credit card (sometimes)

If Names Don't Match:

  • Transferred ticket: Should be updated

  • Gift: May need original buyer present

  • Legal name: Use ID name at checkout


🚨 Troubleshooting

Phone Died

Options:

1. Use Backup Screenshot

If you screenshotted:
- Borrow friend's phone
- Show your screenshot
- Or use check-in list

2. Will Call / Guest List

Tell staff:
- Your full name
- Order number (if you remember)
- Email address
They can look you up manually

3. Show Email

On friend's phone:
- Log into your email
- Show confirmation
- Staff can verify

QR Code Won't Scan

Troubleshooting Steps:

1. Brightness

Settings → Display → Brightness
Set to maximum

2. Clean Screen

Wipe phone screen
Remove screen protector if damaged

3. Zoom In

Pinch to zoom QR code larger
Easier for scanner to read

4. Different Angle

Tilt phone slightly
Move closer/further
Avoid glare from lights

5. Manual Entry

Staff enters:
- Order number
- Email address
- Phone number
Manual check-in

Ticket Says "Already Used"

Why This Happens:

  • Someone else used your ticket (fraud)

  • Transferred ticket used by sender

  • System glitch (rare)

What to Do:

1. Don't leave venue
2. Ask for manager
3. Show proof of purchase:
   - Email confirmation
   - Payment receipt
   - Bank statement
4. They'll investigate
5. Usually resolved immediately

Prevention:

  • Don't share QR code screenshots

  • Don't post on social media

  • Keep ticket private

  • Only transfer properly

Not on Guest List

Reasons:

  • Ticket transferred away

  • Order cancelled/refunded

  • Wrong event date

  • Name spelling different

Solution:

  1. Check your ticket details

  2. Verify event name/date

  3. Show proof of purchase

  4. Manager can override

  5. Contact support if needed


👥 Group Check-In

Checking In Together

Same Order:

You bought 5 tickets together

Option 1: All scan from your phone
- Show QR 1, scan
- Show QR 2, scan
- Show QR 3, scan
- Etc.

Option 2: Transfer to friends first
- Each person has own ticket
- Everyone scans independently

Separate Orders:

  • Each person shows their own ticket

  • Check in individually

  • Meet inside

VIP / Guest List

Different Line:

  • VIP tickets often have separate entrance

  • Guest list has own line

  • Check event info for details


🎟️ Special Ticket Types

VIP Tickets

Extra Perks:

  • Separate entrance (sometimes)

  • Different wristband color

  • Skip regular line

  • Special area access

Check-In:

  • Same QR code process

  • Staff notes VIP status

  • Wristband/stamp distinguishes

Early Entry

Special Access:

  • Arrive at designated time

  • Check in before general admission

  • May need separate line

Timing:

Example:
Early Entry: 8:00 PM
General Admission: 9:00 PM
Arrive: 7:45 PM

Multi-Day Passes

Day 1:

  • Full check-in process

  • Receive wristband

  • Don't remove!

Day 2+:

  • Show wristband

  • Quick re-entry

  • Keep wristband on entire festival

⏰ Timing Your Arrival

When to Arrive

Optimal Time:

Doors open: 9:00 PM
Recommended arrival: 9:30-10:00 PM

Why:
- Initial rush cleared
- No long lines
- Not too early
- Not too late

Avoid:

  • Right at doors (longest line)

  • Too late (miss performers)

Lines & Wait Times

Expect:

  • 5-15 minutes typical

  • 30+ minutes for huge events

  • Faster with digital tickets

  • Slowest right at doors

Reduce Wait:

  • Arrive slightly off-peak

  • Have ticket ready

  • Use wallet app

  • Follow staff instructions


🔐 Security & Privacy

QR Code Security

Keep It Private:

  • ❌ Don't post on social media

  • ❌ Don't text screenshots (unless transferring)

  • ❌ Don't share with strangers

  • ✅ Only show to door staff

Why It Matters:

If someone copies your QR:
→ They check in first
→ Your ticket shows "used"
→ You can't get in
→ Major problem!

Preventing Fraud

Best Practices:

  • Only buy from clubly.vip

  • Never buy screenshots from others

  • Don't trust "seller" screenshots

  • Verify ticket in your account

Do I need to print my ticket?

No! Clubly tickets are 100% digital. Show the QR code on your phone.

What if I don't have a smartphone?

Contact support before the event. We can arrange will-call pickup or printed ticket.

Can I use a screenshot?

Yes, but wallet app is better. Screenshot works if your phone's screen works.

What if my ticket was transferred?

The new holder checks in. Original buyer cannot use a transferred ticket.

Will I get a physical ticket at check-in?

Usually no. You may get a wristband or hand stamp instead.

Can I leave and come back?

Depends on event policy. Ask staff when checking in. Re-entry often allowed with wristband.
